CPO serves the Academy of the New Church, Bryn Athyn College, Glencairn Museum, Cairnwood, John Pitcairn Archives, Cairncrest, Bryn Athyn Church & School, Bryn Athyn Cathedral, and Cairnwood Village. Some of the policies and procedures outlined here do not apply to all of these organizations. Please check with the respective organizations to confirm their policies before you make any plans.

If you need to report a fire, life-threatening situation or some other emergency, please call 911. Your call will be answered by trained emergency dispatchers who will make sure you get the necessary help.
There are many other situations where you might need the immediate assistance of the CPO Security and Safety Department. You may reach the Department at any time by calling 267-502-2509.
When should I call 911?
You should call 911 any time you feel that there is an immediate threat to life or property. If you see or smell smoke or see fire and you can not immediately determine that the source is normal please call 911. If you hear a smoke detector or fire alarm bell ringing please call 911. If you feel threatened by someone, or if you see someone being threatened or assaulted in any way please call 911. If you would like to speak to a police officer and your situation is not urgent, please call 215-947-3131.
What do I do if I need Security?
You may reach the Security and Safety Department at any time by calling 267-502-2509.

If I am injured on Academy or General Church property, who do I contact?
If the injury is serious, life-threatening or if immediate assistance is needed, call 911.
If the injury involves a student and is not serious and happens while in class or at a sporting event the student should see his or her coach or teacher. If the injury happens in a dorm he or she should see the dorm parent. The teacher/coach/dorm parent will decide if emergency services should be called or if a visit to the school nurse is required. The school nurse can be contacted at 267-502-2546. If the school nurse is not in her office there are instructions on her voice mail on how to contact her. It is the responsibility of the teacher/coach/dorm parent to file an Accident/Incident Report form with the school nurse by the next business day. Blank incident report forms are available in the Business Office or the Health Clinic.
If a student has an injury and is not in class or at a sporting event, the student should go to the school nurse or find the nearest responsible Academy representative.
If the injury involves an employee and is not serious the employee should contact his or her immediate supervisor. The supervisor will assist the employee in finding the appropriate people to treat the injury. This may involve a doctor or going to the emergency room depending on the circumstances. The employee’s supervisor must ensure that an Accident/Incident Report form is filed by the next business day following the injury. This form will be used for Workers Compensation Insurance purposes if this situation arises.
If the injury does not involve either a student or employee and is not serious the individual should contact the Academy Business Office.
Who do I contact if I have an accident in an Academy vehicle?
If someone is injured in a vehicle accident call the emergency services provider in the area the accident occurs and the police. Exchange insurance information and drivers license information with the other driver(s) in the accident and write a description of what happened. By the next business day contact the Academy Director of Budget and Business Administration (Les Alden - 267-502-2608) or his assistant (Wendy Cooper - 267-502-2630) and file an incident report. Blank incident report forms are available in the Business Office.
What are our Fire Safety procedures on campus?
Your response to a fire or any type of hazardous emergency should be to call 911. You should also take appropriate steps to evacuate the area and limit the spread of the fire, without endangering yourself or others. Fire prevention efforts and procedures vary from building to building. The Security and Safety Department is available to provide more detailed information and training in these areas.
What should I do if there is a toxic spill?
Your response to any type of hazardous emergency should be to call 911. You should also take appropriate steps to evacuate the area and if possible limit the spread of the hazard, within the limits of your training. Accident prevention efforts and procedures vary from building to building. The Security and Safety Department is available to provide more detailed information and training in these areas.
When a burglar alarm goes off on campus what should I do?
If you do not know the reason for the alarm, please contact the police by calling 911. You should also contact the Security and Safety Department at 267-502-2509. If you are CERTAIN that the alarm is false please contact the Security and Safety Department only. They will respond to verify the alarm and assist in resetting the system.
Who do I call if my heat is off?
During normal business hours you should contact CPO at 267-502-2505. Calls during other times should be directed to the Security and Safety Department at 267-502-2509. A security officer will relay your message to an on call mechanical duty person who will respond appropriately to your needs.
How do I make a maintenance request?
You may submit maintenance requests by using any of several methods. You may call CPO at 267-502-2505. You may send email to maintenance.request@anc-gc.org If you are on the ANC Outlook email system, please type "request" in the "To:" box of a new email. You may send written requests via interoffice mail to PO Box 278. Please include the following information in your request: your name, the name of your building, the exact location of your request (floor, room number, etc.), a detailed description of the work needed, the priority level of the job, the deadline (if any), and your phone number or email address.
When I have submitted a maintenance request to CPO, how can I check status on it?
As jobs are received at CPO, they are made into work orders and each is assigned a number. These numbers, along with a description of each job, are kept in a database, and can be looked up by CPO personnel. You are welcome to call Judy Merrell at 267-502-2505 any time between 8am and 4:30pm weekdays to check status on your order, or to let us know if you feel you need to upgrade the priority level of your request.
How do I make a maintenance request if I don’t have Outlook?
You are welcome to call 267-502-2505 at any time, to place an order for work to be done. If the phone is busy or not answered, please leave your request on the answering machine and it will be processed. Or, you may wish to drop a note to CPO, Box 278, Attn: Judy Merrell.
How do I obtain a key for a specific room or building?
Please submit your request to Clay McQueen at 267-502-2604 or via email to clay.mcqueen@anc-gc.org. Please be aware that requests are considered on a case-by-case basis and not all key requests are honored.
How do I obtain a key to the Fitness Center?
Contact Aileen Synnestvedt (267-502-2573) to obtain a key.
How do I replace a lost or stolen Fitness Center key?
Contact Aileen Synnestvedt (267-502-2573) with all pertinent information. She will arrange for a replacement key. The fee for replacement of lost Fitness Center keys is $20. Keys that are reported lost or stolen will be disabled.
When and where is trash picked up?
The current schedule for trash pickup is Wednesday and Saturday mornings between 7:00 and 8:00 am. There are pickup sites at every major building – call CPO if you need a map or a description of a particular location.
When and where is recycling picked up?
Recyclables are picked up on Tuesday mornings at about 11:00 am. There are pickup sites at every major building – call CPO if you need a map or a description of a particular location.

Who is eligible for custodial supplies?
Academy offices and some of the General Church offices are provided with custodial supplies. Residents of dormitory apartments and Academy leased houses are responsible for their own custodial supplies.
If I am eligible for custodial supplies, how do I order them?
There are order forms located at the CPO office, or you can email a request to maintenance.request@anc-gc.org or you may call CPO at 267-502-2505 weekdays. When possible, it is good to plan ahead so that we can be sure to have your materials in stock by the time you need them. Due to the size of our current warehouse, we are not able to stock large quantities, so order early!
When are deliveries made?
Custodial and large parcel deliveries are made each Tuesday and Thursday afternoon. Small UPS packages are delivered by the campus mail van during the 2nd half of the daily schedule. If a package comes in that seems urgent, we will attempt to contact the person to whom the package is addressed so that they may opt to pick it up. Pick-ups may be made at CPO any time on weekdays between 8:00 A.M. and 4:30 P.M.. Custodial supplies should be picked up on weekdays between 8:00 A.M. and 12:00 P.M..
How do I schedule use of an Academy van?
Academy Vans are parked at the Consolidated Plant Operations, Lot #2 and at Pendleton Hall, Lot #10. Contact CPO at 267-502-2505 (Judy Merrell) or the Bryn Athyn College office (267-502-2543) to schedule a van.
How do I obtain a building use permit for Academy buildings?
On the ANC network, you can find a blank building permit form in the Projects Data drive at N:\Building Permits\Building Permit General.doc. The responsible party should print, complete and sign this form, and send it to Wendy Cooper. She can provide a blank form if necessary. All permit requests should be submitted at least seven (7) days before the event. You may contact Wendy Cooper at 267-502-2630. There are a number of building regulations that are documented in the permit form. It is the responsibility of the person requesting the permit to read and understand these conditions.
How do I schedule an event in an Academy building?
The following procedure should be used to schedule an event in an Academy building:
Asplundh Field House – Call Aileen Synnestvedt at 267-502-2573 and complete the Field House specific building permit.
Academy Pavilion – Call Matt Kuhl at 215-938-8486 and complete a building permit. Send the completed permit to the Academy Business Office.
Swedenborg Library – Call Carroll Odhner at 267-502-2547 and complete a building permit. Send the completed permit to the Academy Business Office.
Glencairn – Call Stephen Morley at 267-502-2980 or Doreen Carey at 267-502-2981. You will need to call them 6 months to a year in advance to plan an event. For more information see their website at www.glencairnmuseum.org.
Cairnwood – Call Cairnwood at 215-947-2004. Leave a message for the events director.
School Buildings – During normal school hours Academy school building are scheduled for student use. After normal school hours (4:30 pm on the weekdays) and during the summer usage of the school buildings must be coordinated and approved by the Director of Business Administration (Les Alden). There may be a rental fee charged for the use of an Academy building when your event is not specifically a school or church function. There are different rates and policies for different areas of the campus. Please call the Business Office if you need additional information.
How do I schedule the use of a field?
A field use permit is required for any individual or group wishing to use a field. This includes athletic uses or other uses such as bonfires. The same permit is used for field use as for building use. (see above). An advance notice of 7 days is requested.
How do I schedule an event in a building not owned by the Academy?

How do I get tables, chairs and platforms for Academy functions?
All tables, chairs and platforms which the Academy owns can be loaned for Academy functions or rented for non-Academy functions. They are stored at the Asplundh Field House. Contact Aileen Synnestvedt 267-502-2573 to coordinate the loaning or renting of tables, chairs and platforms.

May I borrow tools, ladders, vehicles, or other equipment from CPO?
No. Any personal use of ANC vehicles and equipment is prohibited.
What is the policy on space heaters?
Faculty, staff, campus residents, and resident students are welcome to use space heaters. Space heaters must be electrically powered, and they must be equipped with a safety device that will shut the unit off if it is tipped over. Heaters that use kerosene or other flammable liquids are prohibited. CPO maintains a small inventory of space heaters that may be loaned in the event of an equipment failure or other maintenance problem.
How do I find out about availability of Academy housing?
The Academy owns housing to provide for the needs of the institution. Academy needs include plant support personnel, transition housing for faculty and staff, dining hall supervision, dorm supervision, married students, theological students and sometimes traditional student housing. The School heads and the CPO Director review housing needs and determine the best way to use this scarce resource. For many years there has been a shortage of housing in Bryn Athyn and Academy housing has been fully subscribed. On rare occasions the institution will have a house or apartment available for rent to the Bryn Athyn community. If this happens, rental terms will normally be limited to one year periods that may be renewed if the institution continues to not have need of the unit. When housing becomes available to the community the CPO Director is responsible for renting the unit. The CPO Director is Chris Carter. He can be reached at 267-502-2605.
May I do my own wiring?
Electrical work of any kind must be performed by CPO or by a CPO-approved contractor.
May I paint a mural in my apartment?
You may paint whatever you like within your living space (not including student dorm rooms), but you must restore the space to its original condition when you move out. The final determination will be made by CPO, and you may be charged for any items that are not adequately restored.

May I have a pet?
Pets are generally not allowed on the Academy campus. Students may not have pets except for fish and if they keep fish as pets, they will be obligated to keep the tank, bowl, or aquarium clean. Pets may be allowed for dorm directors and renters of Academy Real Estate if the renter already owns a family pet and a head of school recommends the individual be offered the rental unit with the pet. There is a written pet policy that will be included as part of the rental contract when the lease is signed. Renters who are granted permission to have pets will be required to carry pet liability insurance.
May I get cable TV?
Cable TV is available in most residential areas of our campus. Lessees should make arrangements directly with Comcast Cable at 215-657-6990. Cable TV is available for students only in the common areas of student housing. Unauthorized connections are considered theft of services and may be pursued via civil or criminal action.
May I have a satellite dish or antenna?
Satellite dishes and antennae are not allowed in most areas. Exceptions might be granted at some Academy-owned real estate locations, with prior permission from CPO.
Is the Academy responsible for my belongings in my rented Academy housing?
No. The renter is responsible for any personal belongings in an Academy owned house. The Academy provides insurance for the dwelling itself and insures itself for the liability of ownership. The Academy often recommends that a renter purchase renters insurance for liability and personal property.
May I have a refrigerator, microwave, or air conditioner in my dorm room?
One small refrigerator is allowed per dorm room. The owner of the refrigerator must make arrangements with the dorm director in advance and must pay $40 in advance to cover the electricity usage for the current school year. Small microwave ovens are allowed in dorm rooms. Air conditioners are not allowed in student dorm rooms.
May I put up my own shelves?
We prefer to have CPO personnel install shelves and other heavy furnishings. This helps us to be sure that no safety hazards are created. You may hang small items like pictures, etc. yourself.
What is the management structure of CPO?
CPO is divided into five functional groups:

The Buildings Department handles any issues regarding building maintenance. This includes plumbing, heating and air conditioning, electrical, telephones, renovation, and minor maintenance.
Grounds Department - Chris Carter - 267-502-2605
Grounds work is out-sourced to a grounds contractor. Chris Carter is the primary liaison. Any issues regarding grounds including athletic fields, tennis courts and roads and paths are the responsibility of the Grounds Department.
Security and Safety Department - Clay McQueen - 267-502-2604
All security and safety issues are handled by the Security and Safety Department.
Custodial Department - Gary Borofsky - 267-502-2796
The Custodial Department is responsible for cleaning of ANC buildings, with a combination of full-time staff, paid students and unpaid students. This department also handles custodial supplies for ANC buildings.
Office Management Department - Dorothy Linquist - 267-502-2691
Some of the functions of the Office Management Department include, supporting the office activities of the other functional departments, maintaining CPO business data, mail, inventory management, and primary customer contact.

How do I address mail?

What do I do for an office move?
Make out a Maintenance Request for a work order. If a planning meeting is necessary to discuss details, contact Judy Merrell to find out who should be included (Computer people, phone people, moving crew, etc.) Obviously advance planning is necessary to do an efficient and timely job. If you’re unsure what you need, contact CPO first and we can set it up from there.
Who do I call for moving furniture, or to have furniture assembled?
Please contact CPO to arrange for these services. We appreciate as much advance notice as you can provide. We do not provide these services for residents of dormitories, apartments, or other institutional housing.
How do I find out about office cleaning in an Academy building?
CPO has a Custodial Department that provides cleaning services in ANC buildings. If you have questions about cleaning please contact CPO at 267-502-2505.
How are overnight Federal Express and UPS Red or Blue packages delivered?
These carriers should be delivering directly to the name and address on the package. Since someone is paying extra to have it sent to you quickly, you want to be sure that the sender has your name and your own specific street address, as well as a telephone number where you can be reached. Because of the volume of packages we receive here at CPO, it is possible that we will receive one for you; if so, we will do our best to either deliver it to you or contact you to let you know it is here, but we cannot guarantee to get it to you the same day.
Where do I get a phone directory?
A phone directory for ANC, Bryn Athyn College, Glencairn, and Cairncrest is maintained by CPO. An annual update is normally done in September or October, and we distribute a small number of printed copies at that time. Directories are also available on the Academy network at N:\Phone Directories\Main Phone Dir.xls. Student phone numbers are listed at N:\Phone Directories\Student Directory.html. We do not publish printed copies of the Student Directory because they tend to become out-of-date very quickly. Cairncrest and the Bryn Athyn Church also publish directories for their organizations.
Who do I call for local government issues?
Call Vikki Trost, Bryn Athyn Borough Manager, at 215-947-9889. Borough government issues include septic pumping, garbage removal, sidewalks and paths, and roads. Some Academy housing has trash removal provided through the Borough. These include the Dormitory resident apartments.
Who do I contact to get new furniture?
Furniture is typically provided by the individual department. CPO does manage large periodic replacements of furniture, particularly in the dormitories. If you have any questions, please contact the Facilities Department Manager.
How quickly will my maintenance request be handled when I call in to CPO?
CPO receives over 4,000 requests per year. Each of these is logged in and a work order created, which can then be tracked. Generally, work orders are handled according to the degree of need or priority.
An emergency ("E") work order will be handled as quickly as possible, as this indicates inherent danger to persons or property. During off hours, contact the Security and Safety Department for emergencies (267-502-2509). (A reminder that any serious injury to a person, fires, or other potential disasters should be handled immediately by dialing "911" directly, NOT CPO).
Ongoing preventative maintenance orders or continuous work ("O") will be initiated by CPO only as required.
Priority "L" (Low) is for very low priority work orders that are simply handled as a matter of routine (normally a few weeks to a couple of months) whenever time allows. These will be reviewed and scheduled within a week of receipt. If a longer delay is anticipated at any time, you will be contacted for a discussion of the need and timing.
Priority "M" (Medium) jobs will be scheduled chronologically according to availability of the type of skilled technician required. In general scheduling will be done and available within a few days and most work should be accomplished within 2 – 3 weeks.
Priority "H" (High) jobs should be scheduled within a day or two and will take precedence over all other jobs except emergencies. Depending on the nature of the priority (serious consequences will take precedence over "short" notice for planned events), response can be expected in 3-4 working days. Priority H requests should include a deadline if possible.
As there are a large number of high priority jobs, these must be handled first – therefore, if your order is not done right away that does NOT mean we’ve forgotten it! It normally means that either critical orders have come in that require immediate attention, or that we are waiting for a part; or sometimes, we are waiting for an outside contractor to come and work on it. As the CPO staff is fairly small, we do sometimes end up with orders not processed as quickly as we would hope. If you feel that your request requires more immediate attention, please call 267-502-2505 and ask to have your work order reviewed.
Do I have to pay for my personal long distance calls made from Academy phones?
Yes. Although our billing system is not yet functional you will be expected to pay for personal calls. You will also be given the opportunity to account for business calls that you make. Resident students are only permitted to make local calls from Academy phones, such as those in dorm rooms. A variety of prepaid long-distance phone cards are commercially available if resident students need to make long-distance calls.

May I have a bonfire on campus?
Any fire on campus must be approved through the building and field use permitting process. On the ANC network, you can find a blank building permit form in the Everyone drive at J:\BUILDING PERMIT\Building Permit and Regulations.doc. The responsible party should print, complete and sign this form, and send it to Wendy Cooper. She can provide a blank form if necessary. All permit requests should be submitted at least seven (7) days before the event. You may contact Wendy Cooper at 267-502-2630. There are a number of regulations that are documented in the permit form. It is the responsibility of the person requesting the permit to read and understand these conditions.
What is the schedule for mail deliveries?
The schedule should be posted in the mail reception area in your building.
What is the snow removal procedure?
Most snow removal is performed by the grounds contractor. Every snowfall is continuously monitored from beginning to end. Crews are mobilized as needed for plowing, shoveling and salting.
Every attempt is made to clear steps as soon as the snowfall stops. If the forecast calls for significant accumulation the steps will be cleared more than once to keep them passable. If you feel that a particular set of steps needs attention contact CPO at 267-502-2505. We will address the situation as best we can.
If you have a special event going on during a snow or ice event contact CPO at 267-502-2505 and we will pay special attention to that area.
Residents who lease property from the Academy are expected to clear snow from certain areas near their residence. This is normally explained in the terms of the lease. If you have any questions please contact Chris Carter at 267-502-2605.

Who do I call if I need repair on an Academy copier or overhead projector?
Copiers: Most Academy copiers are now acquired under a common lease that was negotiated through the Business Office. The Business Office maintains a list of responsible parties for each copier. Usually this person is in the general area of the copier in question. Call the Business office if you are unsure who this person should be. The responsible person will know whom to call at the copier company for service. Some copiers have been purchased by a department outside the central Academy copier lease. Maintenance of these copiers is the responsibility of the department who purchased the copier. CPO does not provide copier maintenance.
Overhead projectors: The responsibility for purchase and maintenance of small equipment falls to the individual department who made the purchase. Contact your department head for overhead projector maintenance.
